Frequently asked questions

How is Bill different to Xero, QuickBooks or GhostPractice?

Xero, QuickBooks, Sage, etc. are generic accounting software, while GhostPractice, AJS, etc. are specialist South African legal software. Regardless of what you use, somebody still has to type in all the work, gather the paperwork, and reconcile the bank statements. Bill starts a step earlier and ends a step later; it captures your work and data at source – in your calendar, email, or WhatsApp – and we reconcile your books, ready for you to review.

Can you move my existing records across?

Yes, and we do the moving. Send us whatever you have – a spreadsheet, an export from another practice management system, a folder of PDF invoices, or your bank statements – we’ll load your clients, matters, rates and unpaid invoices before you start.

Where is my client information stored, and how is it protected?

Our POPIA compliance has been independently assessed. Your data is stored in South Africa, in Google Cloud’s Johannesburg region. It is encrypted in transit and at rest, access is limited to authorised people and systems on a least-privilege basis, and there are automated daily backups with point-in-time recovery. Some processing, including the AI features, runs on infrastructure outside South Africa under the safeguards POPIA section 72 requires. The full detail is in our privacy policy.

Is my email safe if I connect an inbox?

Bill reads your inbox to draft time entries and pick up invoices, and nothing else. Data received from Google Workspace APIs is used in line with the Google API Services User Data Policy, including its Limited Use requirements, and before Google approved that access our app passed a CASA Tier 2 security assessment, an independent review carried out by TAC Security. You can disconnect an inbox at any time from your settings.

Am I tied in?

No. Subscriptions run month to month. You can cancel at any time from the Subscription tab in your settings or by emailing us, and your access continues to the end of the billing period you have paid for. If you cancel within one calendar month of your first payment, you can ask for a full refund of everything you have paid. You can export your data at any time. The terms are in our refund policy.

Who actually does the work?

We do. Ricky is an attorney and a tax practitioner, and he is the person who keeps your books and files your returns – not a call centre, and not a junior you never meet. The software does the capture so that the human time goes on the parts that need judgement.

Do you help with trust audits?

Yes. We facilitate your trust audit and gather everything your auditor asks for. If your books have been on Bill through the year, the trust reconciliations and records are already in place and the audit is a straightforward exercise rather than a scramble.
